2025 Culinary Village Exhibitors
Thank you for your interest in participating as an Exhibitor at Charleston Wine + Food’s Culinary Village, the festival’s largest sampling experience. Our dedicated Exhibitor booths enhance the three-day Culinary Village experience by providing our attendees the opportunity to discover + engage with local + regional brands.
In order to maximize the brand experience, we intentionally curate Exhibitor offerings with sensitivity to category-exclusivity and non-competing footprints.
To ensure your brand gets the most out of its CHSWF experience, and to ensure we are also a good fit for your brand, we’d like to get to know you a little better! Please complete the application form in its entirety by December 6, 2024. CHSWF will review all applications on a rolling basis and we will reach out to your brand regarding acceptance after reviewing.

Artisan Market Standard Exhibitor Table
This year, we are thrilled to curate some of the most talented artisans in Charleston and the South. Join us for a unique shopping experience featuring a diverse array of handmade goods, including knives, jewelry, ceramics, exquisite chocolates, bowties, and more. The Charleston Wine + Food Culinary Village attracts food lovers from near and far; these epicurious consumers are not only knowledgeable about the culinary and beverage world but also eager to support it. You’ll be in good company with other vendors showcasing their craft and creativity.

What Charleston Wine + Food provides
Standard Table (applicable for wine, beer, non-alcoholic exhibitors)
– 6ft – 8ft booth space
– One (1) front table and one (1) back table, which must be used by the exhibitor
– One (1) linen for any provided table
– Basic station signage noting brand name (NOTE: no additional standing signage or pull-up banners permitted; only table-top decor)
– Access to ice, one cooler, one dump bucket upon request via Exhibitor Request Form
– Culinary Village working credentials
Bar Activation (applicable for spirits exhibitors)
– 10ft x 10ft booth space
– One (1) front bar and one (1) back table (6ft)
– One (1) linen for any provided table
– Basic station signage noting brand name (NOTE: no additional standing signage or pull-up banners permitted; only table-top decor)
– Access to ice, one cooler, one dump bucket upon request via Exhibitor Request Form
– Culinary Village working credentials
Artisan Market Booth
– 10ft x 10ft booth space
– One (1) front table and one (1) back table, which must be used by the exhibitor
– One (1) linen for any provided table
– Basic station signage noting brand name (NOTE: no additional standing signage or pull-up banners permitted; only table-top decor)
– Ability to sell goods and wares to guests through Exhibitor’s own POS system
– Access to CHSWF vendor wifi network for two (2) devices

Additional booth items Exhibitor may purchase
At an additional cost, Exhibitors are able to purchase up to two electrical outlets (120 volts each), two 40 lb bags of ice per day in a cooler, one dump bucket, one beverage dispenser, and one ice scoop.

General liability insurance
Exhibitors must maintain a comprehensive General Liability Insurance of at least one million dollars (general aggregate) and $500,000 each occurrence. Charleston Wine + Food must be named as a Certificate Holder. A copy of your General Liability Form must be submitted to CHSWF no later than January 31, 2023. If you do not maintain this level of insurance, Exhibitors are able to purchase the ability to be added as additionally insured to Charleston Wine + Food’s policy at an additional cost of $85 for necessary coverage through the festival.

Training
A representative from your company that will be on-site during the festival must attend at least one in-person or virtual Exhibitor training session in advance of the festival. Dates to be determined.

If serving food / beverage
We are excited to showcase your product to our 3,600 attendees per day of the Culinary Village. Sales of alcohol are NOT PERMITTED.

If selling artisanal goods
We are excited to showcase your product to our 3,600 attendees per day of the Culinary Village. Exhibitors selling artisanal goods must hold and share a copy of their South Carolina business license and Charleston business license with CHSWF.

Compostable materials only
All serving / sampling materials must be 100% compostable. Serving on non-compostable materials will result in a charge for compostable replacements onsite.

Children + pets
All festival events are 21 and older. No children or infants (even in strollers or carriers) are allowed to attend any festival event. Pets, emotional support, therapy, or companion animals are not permitted at any Charleston Wine + Food event.
Service animals are permitted throughout the festival. They must be properly trained and under proper care of their owners; remain by the handler’s side at all times and be harnessed, leashed, or tethered; be housebroken and relieve themselves outdoors; and be up to date on all legally required vaccinations. Anyone bringing a service animal will be responsible for and liable for any damage or injury the animal causes.

On-site event staff
All on-site event staff must be 21 years of age or older.

Health acknowledgment
By participating in Charleston Wine + Food, you are confirming that you and all persons in your party will comply with our health + safety measures. Exhibitors who cannot confirm all of the below criteria must not enter Charleston Wine + Food events. If at any point during participation at Charleston Wine + Food Exhibitor does not meet all of the criteria, please contact your Charleston Wine + Food point of contact.
+ Are not experiencing any symptoms of COVID-19 (e.g. a fever of 100.4F or higher, cough, shortness of breath or difficulty breathing, chills, repeated shaking, muscle pain / achiness, headache, sore throat, loss of taste or smell, nasal congestion, runny nose, vomiting or diarrhea, fatigue, or any other symptoms associated with COVID-19 identified by the Centers for Disease Control and Prevention)
+ Do not need to quarantine due to close contact with someone with confirmed or suspected COVID-19
+ Are not under any self-quarantine orders

Media release
Through your participation in Charleston Wine + Food, you may be photographed or recorded. Participating Exhibitors hereby grant Charleston Wine + Food the right and license to publish, print, display, record and use (by photograph, film, tape, and any other method or device) the participating Exhibitor, and all of its credentialed employees’ and guests’, name, voice, image and likeness while at the festival (the “Recordings”), and use such Recordings for any and all purposes, in any and all media now known or hereafter devised, including and not limited to social media.

Loss / theft
Participating Exhibitors are solely responsible for the security of all goods, property, equipment, materials, product or any other items (“Participant’s Property”) that it or its agents, or other representatives bring to the Charleston Wine + Food festival. Charleston Wine + Food shall have no obligation or liability whatsoever for any loss, misplacement or theft of Participant’s Property unless such loss, misplacement, or theft directly arises from the Charleston Wine + Food’s willful misconduct.

These are the driving principles of Charleston Wine + Food…and we ask that they drive your own participation in our community gathering. We hope you will enthusiastically support our organizational code of conduct.
Be yourself, be genuine and kind! Participating authentically lends your uniqueness to the tapestry that is our festival. In addition to exhibiting individuality, we expect every participant in the Festival to be courteous and professional at all times. We have zero tolerance for harassment or discrimination. If you are a target of any harassment or discriminatory behavior, please let us know. Harassment and discrimination can include but are not limited to offensive comments or actions pertaining to race, color, gender, gender identity, sexual orientation, religion, age, national origin, or mental or physical disability.
Violence and threats of violence will not be tolerated; acting in the “heat of the moment” is not an excuse.
Deliberate intimidation, unwelcome sexual attention, and other similar aggressions will not be tolerated.
If you feel victimized in any way as a part of your engagement with Charleston Wine + Food, please report immediately to your Charleston Wine + Food point of contact.
Charleston Wine + Food reserves the right to remove anyone from the Festival who engages in discrimination, harassment, mistreatment, aggressiveness, violence, intimidation or improper or unprofessional behavior, as determined by Charleston Wine + Food. In such case, tickets and participation in remaining Festival events may not be honored or allowed and refunds will not be issued
